Before You Book...

PARTY BOOKING REQUEST FORM

1. Contract: By paying your deposit, you, the client, agrees to the following terms and conditions.

2. Deposit: A non-refundable deposit (50% of your chosen package) is due at the time of booking (after availability is confirmed) to secure your party date, time, and character(s). We are unable to schedule a performer for any party that has not submitted a deposit. The deposit is due and can be paid once availability has been confirmed. Unless otherwise communicated and agreed upon in writing (via email or messenger), failure to pay the deposit within 48 hours of availability confirmation may result in the forfeiture of your scheduled date, allowing us to accommodate other bookings. ALL DEPOSITS ARE NON-REFUNDABLE. If you need to reschedule the date of your party, we will apply your deposit toward your new date that is valid up to one year from the original party event date.

3. Balance: The client agrees to pay the remaining balance by the date of the party. We will email the client at least three days before the party date including a confirmation of details and a reminder of the amount due. The client can pay any time up to, and including, the day of the party. The balance may be paid electronically through Venmo (@timelesstales) or PayPal ([email protected]). We will also accept cash that can be given to the performer at the party. The entire balance must be paid before your performer leaves at the end of their scheduled time.

4. Cancellations & Rescheduling: If for any reason you need to cancel your party, we will work with you to schedule a different date. If you decide to cancel and do not reschedule your party, your deposit will be retained as a cancellation fee. If we cancel your party for any unforeseen circumstance, you will be refunded in full.

5. Smoking: Our costumes and wigs are very valuable and will not be subject to smoke of any kind. If a guest is seen smoking at your party, it is seen as damaging to our costumes and performers and the client is expected to assure that the guest stops smoking immediately.

6. Pets: As much as we love fur babies, they can be very damaging to our costumes and equipment. Please keep pets (with the exception of service animals) in a separate area while the performer(s) are in attendance.

7. Damage: We understand that accidents happen; however, the client may be held responsible for any excessive damage to costumes and property of Timeless Tales Princess Parties during the client's event. Replacement/repair costs in the event of damaged or broken costumes/materials will be billed to the client. No food or drink should be consumed during the performer's visit (with the exception of birthday cake at the end of the performer's scheduled time).

8. Discipline and Non-Participation: Timeless Tales Princess Parties' performers and assistants are responsible for the flow of the party activities during the full duration of their visit. The client is responsible for monitoring disruptive behavior and attending to any child who does not want to participate. If a child or guest at the party is being disruptive past a reasonable extent, the performer/assistant has permission to ask an adult to escort the disruptive behavior away from the character entertainment/activities or change the party/event activities as needed.

9. Adults at Event: We ask that the parent(s) and/or guardian(s) of the birthday child supervise in the same room as the performer for the full duration of the party to attend to the possible needs of the children. Adult guests are welcome to watch and enjoy the performance, but we ask that the noise level is kept to little to no volume so the children can enjoy the experience.

10. Activities: Timeless Tales Princess Parties is prepared to provide entertainment for the full duration of the character's visit. All performers are trained to read the room and lead activities in the order they feel best suits the needs of the guests. The client will ensure that we have adequate space for all activities (dancing, games, singing, photos).

11. Location: Proper accommodations will be provided by the client. The client will ensure that there is adequate parking. We do not mind a little walk, as we typically like to stay out of sight during our arrival, but we do need to be close to the party location. If rain or other inclement weather occurs and the party has been scheduled outdoors, it is the responsibility of the client to have a backup location indoors. Between May 15th and September 15th we will only book the Short Story Party Package (30 minutes) for outdoor parties because the extreme summer temperatures are too dangerous for performers to be outside in the heavy costumes, wigs, and makeup. For outdoor parties, please have a shaded or sheltered area for the performer and the children. The Tall Tale Package (60 minutes) is available for inside parties year round.

12. Photo Safety: For the safety of the children and performer(s), we do not pick up or hold children. If you'd like for a little one to be in a photo and they cannot stand on their own yet, please allow us to kneel before handing us a child.

13. Changes to Time: The client must refrain from disrupting a performer’s start time, nor delay them from leaving. Changes in party start time by request of the client will be accommodated at our discretion and are based on availability. Any changes must be made within 48 hours of the party date. The client agrees not to hold Timeless Tales Princess Parties responsible for inclement weather or other Acts of God that may cause delayed start time to the event.

14. Liability: The client agrees to hold and keep harmless Timeless Tales Princess Parties and its performers from any and all property damages and/or bodily injury damage caused by the client or any/all guests. Timeless Tales Princess Parties nor any of its contractors or employees are responsible for any damages that occur to any persons or properties for any client or company.

15. Safety: Our performers are trained to keep the safety of your guests in mind at all times. If there is ever a situation where the performer(s) or assistant(s) feel unsafe, they will address the issue with the parent/guardian/client. If the issue is not resolved, the performer reserves the right to leave.

16. Your Event: Party details will be sent in an email confirmation at the time of booking and again as a reminder at least three days prior to your party/event. Failure to confirm the details on the confirmation can result in errors including start time, address, character requested, etc. ​​

17. Breach: Any breach in this contract automatically constitutes a cancellation of your party and any and all payments made to Timeless Tales Princess Parties will be forfeited by the client. ​

Booking is first come, first serve. We ask that you book no later than 2 weeks in advance.
A late booking fee of $20 will be added onto your total if you book less than 2 weeks from the party date.
A travel fee will be applied for locations 20+ miles from zip code 30909.
